Get your meetings ready
Open Meeting assist to see Today, Upcoming, and Past meetings. Search by meeting title or attendee email, and use the date and user filters to find the right meeting.
Meeting recording must be enabled for the notetaker to join and produce a recording, transcript, and summary. Use Enable meeting recording if the page shows that recording is disabled. You can also manage the default in Settings → Meeting recording; that setting applies to future calendar meetings.
Live insights use your team's knowledge corpus. Meeting assist and its knowledge features depend on your organization's setup. If they are unavailable, chat with us about enabling them and connecting your knowledge corpus.
Choose which meetings to record
Open an upcoming meeting and use Recording to turn the notetaker on or off for that meeting. This overrides your default for that meeting only. Upcoming recording controls lock within 15 minutes of the start time.
If a meeting is already in progress without a notetaker, expand it, check or paste its Meeting link, and select Join now. The supported links are Zoom, Google Meet, Microsoft Teams, and Webex. Admit the notetaker from the waiting room if prompted; recording and transcription begin after it joins.
Recording and live coaching controls apply to meetings associated with you. Meetings you see through a teammate filter are view-only.
Use cited insights during the conversation
Select your recorded meeting while it is in progress, or select Open coach. The coach can engage automatically when your recorded meeting enters its live window. Check the meeting title, especially if you have overlapping meetings.
Keep the coach open while you want live assistance. It uses the conversation and your organization's knowledge corpus to surface relevant facts for questions, objections, and requirements. Open a fact's source link to inspect the material behind it. The coach is selective, so a quiet period does not necessarily mean it has stopped working.
Use Ask knowledge base, when available, to ask your own question and receive an answer grounded in your team's material.
Select Stop to stop coaching for the selected meeting. This ends the live coach session; it is separate from the meeting's recording setting. Live insights begin from the time you engage the coach and are not generated afterward for portions you did not watch.
Review the meeting and plan the next step
After the meeting, select View recap in the coach or open the recorded meeting under Past meetings. Review the Summary and Recording & transcript. Processing can take time after the meeting ends.
The recap brings the recording and transcript together with the cited insights that appeared during the live conversation. Use the transcript download and summary copy controls when you need to work with those materials elsewhere.
Check the agreed commitments, then create follow-up tasks for the relevant contacts, with a due date and notes about what you agreed. Review the resulting work in Tasks. Use the recap as context for your follow-up email or a presentation.
