Understand views and lists
A saved view remembers a useful set of filters on a page. Use one for criteria you revisit, such as accounts in your territory or contacts in a particular department.
A list collects specific records. Use one for a defined group, such as event attendees or accounts selected for a campaign. A saved view can narrow that list to the records you want to work with today.
For example, keep all event contacts in one list, then use a view to focus on decision-makers with an available email address. Changing the view changes which records you see; it does not remove those records from the list.
Save a view
- Open a page that supports saved views, such as Find accounts, Find contacts, or a list.
- Add the filters you want to reuse and review the results.
- Open the View menu and select Save as new view…. The button shows your current view, for example View: All accounts or View: Custom. You need at least one active filter to create a view.
- Enter a descriptive View name and select Save.
- Return to the page, open the View menu, and select your saved view to apply its criteria again.
Name the view for its purpose rather than a temporary result count. The records matching the criteria can change as data and activity change.
When a view looks wrong
Check the view's active filters, any changes you made since opening it, and whether you are on the intended page or list. If a shared view is missing from the menu, its visibility and access may need to be updated separately.
