Custom domains

Serve hosted PDF pages and scheduling links from your company's subdomains, and see what each domain change does to links you've shared.

How domain assignments work

Org settings → Domains lets organization administrators serve Athean links from their company's own subdomains, such as docs.yourcompany.com, instead of Athean's addresses. The page is in the Integrations group of Org settings, and only organization administrators can open it.

A custom domain can be assigned to two uses:

UseLinks that use the addressAthean-provided address
Document hostingPDF pages published from the Knowledge corpus, including the link on each document's Hosted page card and the link AI operators can include in outreach. Links look like https://docs.yourcompany.com/your-document.Your organization's Athean document address, created automatically when you publish your first document.
Meeting schedulingPersonal booking links from Scheduling links: the booking URL in Settings → Scheduling link, links added to an email with Insert scheduling link, and the Sender Scheduling Link variable. Links look like https://meet.yourcompany.com/schedule/person-name.app.athean.com

The page has two parts. Domain assignments shows the address each use has now, marked Custom domain or Athean-provided, with an example link. Your domains lists the subdomains you've connected, with each one's status and uses.

  • Connecting a domain changes no links. A connected domain serves nothing until you assign it to a use.
  • Each use has one address. One connected domain can serve both uses. Changing one use doesn't change the other.
  • Athean-provided links keep working. After you assign a custom domain, links on your Athean document address and on app.athean.com still open.
  • Some share links always use Athean's address. Share links for Presentations and Custom dashboards don't use custom domains.

Domain assignments shows the address each use has now. The connected domain in this example isn’t assigned and supports documents only. Example domains shown.

Connect a subdomain

Connecting a subdomain means adding two DNS records for it, so you need access to your company's DNS settings or someone in IT who can add records.

  1. Open Org settings → Domains. Under Your domains, select Add domain.
  2. In Subdomain, enter the address you want to use, such as docs.yourcompany.com or meet.yourcompany.com. Enter the address only, without https:// or a path.
  3. Select Continue to DNS setup. The subdomain appears under Your domains with the status Preparing DNS, and its records appear under DNS & details when they're ready. Then add the DNS records.
  • Use a subdomain. docs.yourcompany.com works; a root domain such as yourcompany.com doesn't. Athean's own domains can't be connected.
  • Use an address that isn't already serving another website. The Connect your address record sends all of that address's traffic to Athean.
  • Each subdomain belongs to one organization. If another organization has already connected it, contact support.
  • Connect as many subdomains as you need. Domains can stay connected without being assigned.

To fix a typo or abandon a setup, select Cancel setup on the domain's row (see Remove a domain). A connected domain can't be renamed: connect the new subdomain, assign it, and then remove the old one.

Connect a subdomain form under Your domains with an empty Subdomain field, example addresses, and Continue to DNS setup and Cancel buttons.
Enter the subdomain, then select Continue to DNS setup to get its DNS records. Nothing was submitted in this example.

Add the DNS records

  1. In Org settings → Domains, select DNS & details on the domain's row.
  2. With your DNS provider, add the two CNAME records listed under DNS records:
    • Connect your address: its name is your subdomain, and its value is the address shown in DNS & details. This record sends the subdomain's traffic to Athean.
    • Enable HTTPS: lets Athean get the certificate that secures the subdomain. Its name and value are also shown in DNS & details.
Use the copy button beside each Name and Value so the records match exactly. To hand the work to IT, select Copy for IT, which copies both records with setup instructions.
  3. Use the default TTL, and turn off proxying (DNS only) for both records. If your provider adds your domain to record names automatically, leave that suffix out of the name you enter.
  4. Wait for both records to show Verified and the domain to show Connected. The status updates automatically; select Check status to ask Athean to check now. DNS can take up to 48 hours, followed by a few minutes for HTTPS.

Keep both records in place for as long as you use the domain. Athean needs them to serve the domain and to renew its HTTPS certificate. Connecting doesn't assign the domain: when it shows Connected, assign it to a use.

StatusWhat it means
Preparing DNSAthean is creating the domain's records. They appear under DNS & details automatically.
Waiting for DNSAthean hasn't verified one or both records yet. Each record shows Pending until it's verified.
Activating HTTPSBoth records are verified, and Athean is turning on secure hosting.
ConnectedThe domain is ready to assign.
Needs attentionAthean can no longer verify a connected domain's records. Check that both records are still in place.
DisconnectingThe domain is being removed.

DNS & details also shows the latest message about the setup and when Athean last checked it.

Assign, change, or unassign a domain

  1. In Org settings → Domains, under Domain assignments, find Document hosting or Meeting scheduling. Select Assign domain, or Change if a custom domain is already assigned.
  2. In Domain for document hosting or Domain for meeting scheduling, choose a connected domain. The Athean-provided address is also in the list. Domains that aren't ready for that use are listed but can't be chosen.
  3. Select Save assignment.
  4. Read the confirmation, which names the new address and any links that will stop working, then select Change domain.

To return a use to its Athean-provided address, select Unassign beside it, then select Unassign domain in the confirmation. The custom domain stays connected and can be assigned again.

Only a domain with the status Connected can be assigned. A domain that shows This connection supports documents only can be used only for document hosting; to use it for meeting scheduling, contact support.

What each change does to links

ChangeNew linksLinks already shared
Connect a domainNo change.No change.
Assign a custom domain in place of the Athean-provided addressUse the custom domain.Links on the Athean-provided address keep working.
Change a use from one custom domain to anotherUse the new custom domain.Links on the previous custom domain stop working. Links on the Athean-provided address keep working.
Unassign a custom domainUse the Athean-provided address.Links on the custom domain stop working. Links on the Athean-provided address keep working.
Remove a domainNo change. No change. A domain can be removed only when it's unassigned, and links on it stopped working when it was unassigned.

Athean doesn't rewrite links in emails that were already sent, in saved drafts, or in scheduled messages that were already prepared. A link added to an email with Insert scheduling link keeps the address it had when you added it. The Sender Scheduling Link variable in sequence templates and snippets uses the current address each time a message is prepared. The Hosted page card in Knowledge corpus and the booking URL in Settings → Scheduling link always show the current address.

Before you change or unassign a custom domain, update the links you've shared on it. Assigning that domain to the same use again makes its links work again.

Remove a domain

You can remove a domain only when it isn't assigned to either use. If it's assigned, its row says which uses to unassign or change first.

  1. In Org settings → Domains, under Your domains, select Remove domain on the domain's row. For a setup that isn't finished, the button is Cancel setup.
  2. In the confirmation, select Remove domain. The domain shows Disconnecting while Athean removes its hosting connection, and then it leaves the list.
  3. After removal finishes, delete both of the domain's DNS records at your DNS provider.

Removing a domain doesn't change your document or scheduling addresses. You can connect the same subdomain again after removal finishes. Use the records shown for the new setup, because the Connect your address value changes.

A domain marked Managed by Athean was set up by Athean and can't be removed from this page. To remove it, contact support.

Troubleshoot custom domains

ProblemWhat to do
Use a subdomain of your registered domain, such as docs.yourcompany.comYou entered a root domain. Enter a subdomain instead. Use a domain owned by your organization means the address is one of Athean's own domains.
Enter a subdomain such as docs.yourcompany.com, without https:// or a pathRemove https://, slashes, and anything after the address, then try again.
This domain is already registered. Contact Athean if you need to transfer itAnother organization has connected this subdomain. Contact support to transfer it.
A record stays PendingIn your DNS provider, check that the record type is CNAME, that its name and value match DNS & details exactly, that proxying is off, and that your domain doesn't appear twice in the name. Then select Check status. DNS changes can take up to 48 hours.
HTTPS validation expired or failedRemove the setup with Cancel setup (or, for a connected domain, unassign it and select Remove domain), then add the domain again and use the records shown for the new setup. If your domain has CAA records, ask IT to allow Amazon to issue its certificate.
Needs attentionCheck that both DNS records are still in place and unchanged, then select Check status. If the Connect your address record is missing, links on the domain don't open. To send new links to the Athean-provided address in the meantime, unassign the domain.
Assign domain is unavailableNo connected domain is ready for that use. Finish DNS setup until a domain shows Connected. For meeting scheduling, choose a domain that doesn't show This connection supports documents only.
This assignment changed since you opened the pageAnother administrator changed the assignment. Select Refresh domains, review the current address, and try again.
We couldn't finish checking this domainAthean retries automatically. If the message stays, contact support with the subdomain.
An older link doesn't openLinks on a custom domain stop working after the domain is changed or unassigned. Share the current link from the Hosted page card or Settings → Scheduling link, or assign the old domain to that use again.
